What data we process
- Customer portal user data: name, email address, organisation and sign-in data.
- Material the customer uploads to the portal and content produced from it (texts, images, speech and share links).
- Data about usage rights and purchases, and billing details: name, Business ID (for companies), billing address and invoice email.
- Data about presentation recipients when the sender uses a shared link: anonymous viewing data (language, progress and time), an optional confirmation with name, and optional questions with any contact details given with them. The sender of the presentation is the controller of this data, and Rujos-studiot Oy processes it on the sender’s behalf.
- Technical logs needed for the operation and security of the service.
- Business-to-business marketing: the contact person’s name, job title, work email and organisation, and where the contact detail was obtained.
- Dictation: when you use the dictation feature in the customer portal, your speech is converted into text by a speech service. The audio is not stored in the service. The resulting text is processed like other customer material.
Purposes and legal bases
- Providing the service and managing the customer relationship: contract.
- Information security, preventing misuse and developing the service: legitimate interest.
- Bookkeeping and other statutory obligations: legal obligation.
- Business-to-business marketing related to work duties: legitimate interest. You can opt out of marketing at any time.
Sources of data
From users themselves, from the customer organisation and, for marketing, from public sources such as organisations’ websites.
Service providers and disclosures
- Hosting: a Finnish service provider (Finland).
- Generating text, translations and speech: AI and speech service providers (EU and United States).
- File storage and delivery: a cloud storage service (EU and United States).
- Payments: bank transfers are received into Rujos-studiot Oy’s bank account (bank in Finland). Invoices are sent by email, and the data may be provided to an accounting firm for bookkeeping.
Data is not sold or disclosed to third parties for marketing. Service providers process data only to deliver the service. You can request more detailed information about the recipients at info@rujos.fi.
Transfers outside the EU and EEA
Some service providers may process data outside the EU and EEA, for example in the United States. Transfers are protected by safeguards under the GDPR, such as the European Commission’s standard contractual clauses or the EU–U.S. Data Privacy Framework.
Artificial intelligence
Artificial intelligence may be used in various production stages at Rujos-studiot Oy, including speech and answering recipients’ questions based on the presentation content, in which case recipients are told that the answer comes from AI. The service makes no automated decisions about individuals that have legal effects.
Retention
- User and customer data: for the duration of the customer relationship and thereafter as long as required by law.
- Material and produced content: for the duration of the customer relationship or until the customer asks for deletion.
- Sharing links: a link stays valid until the customer deletes it or the customer relationship ends. A deleted link cannot be restored.
- Presentation viewing data and confirmations: 24 months. Recipients’ questions and contact details: 12 months.
- Bookkeeping records: for the periods required by the Finnish Accounting Act.
- Marketing data: until you opt out or for at most two years after the last contact.
Cookies
The home page uses no tracking or advertising cookies. The customer portal uses only cookies that are necessary for sign-in and security. The presentation page uses only a necessary session cookie and remembers the chosen language on the same device.
Your rights
You have the right to access your data, request rectification or erasure, restrict processing, object to processing and receive your data in a portable format.
